We realize that plans can shift and at CommonsRotunda, we are committed to maintaining a transparent and just refund policy. This document provides an outline of when refunds are applicable for our yacht charter services.

Before placing a reservation, please examine this policy thoroughly. When you book a charter with CommonsRotunda, you are stating your agreement and consent to these terms governing refunds.

Standard Cancellation and Refund Schedule

More than 72 Hours Before Charter

100% Refund

Eligible for: Full refund excluding service charges

Processing Duration: 5-7 business days

Service Charge: €50 for transactions via credit card

Requirements: Should be requested via written communication such as email or by telephone

24-72 Hours Before Charter

50% Refund

Eligible for: Refund of half the total cost of the charter

Processing Duration: 7-10 business days

Service Charge: €25 reduction from the refund amount

Requirements: A legitimate reason is needed; administrative expenses will be incurred

Less than 24 Hours Before Charter

No Refund

Eligible for: Refunds are not available

Exception: Consideration given to emergencies

Alternative: At the discretion of the management, charter credit might be provided

Requirements: Emergency situations require documented proof

Weather-Related Cancellations

Our Weather Guarantee

Our number one concern is safety. In the event that our captain, who is certified, deems weather conditions unsafe for the charter's operation, we have flexible alternatives:

  • Complete Refund: If rescheduling is not viable, a full refund is offered
  • Reschedule: We will move your charter to a subsequent available slot with no additional costs
  • Charter Credit: A voucher valid for 12 months from the initial charter date can be issued

Weather Assessment Process

Our assessment of the weather takes into account:

  • Evaluation of wind speeds and their direction
  • The height of waves and the condition of the sea
  • Visibility and forecasting of rainfall
  • Marine warnings and advisories issued by the Coast Guard
  • The certified captain’s judgment of safety conditions

Decision Window: Decisions on weather-related cancellations are made at least 4 hours ahead of the scheduled departure.

Medical Emergency Refunds

Emergency Events

In the case of unexpected medical emergencies, we offer special accommodations for:

  • Sudden health crises or accidents resulting in hospital stays
  • Loss of an immediate family member
  • Unanticipated military obligations or recalls
  • Summons for jury duty or legal appearances
  • Travel disruptions due to natural disasters

Verification Needed

To facilitate requests for emergency refunds, you will need to provide:

  • Medical records or proof from hospital
  • Death certificate (where applicable)
  • Formal military directives
  • Legal summons or notice for jury duty
  • Notices of travel restrictions or declarations of emergency

Review Process: Subject to the provision of adequate documentation, emergency refunds are addressed within 3-5 business days.

Operational Cancellations

Technical Failures

Should the vessel assigned to you suffer from mechanical difficulties that can't be remedied:

  • Different Vessel: We will make an effort to assign an equivalent substitute
  • Full Refund: If no appropriate alternative is found
  • Partial Refund: If the substitute vessel is priced differently
  • Compensation: Additional reparation may be considered for inconveniences caused

Availability of Crew

In the unlikely event our certified crew becomes unavailable:

  • We will try to arrange a replacement crew if feasible
  • A full refund if the charter cannot proceed
  • Options to reschedule without incurring extra fees

Refund Processing

Original Form of Payment

Returning funds will be processed back to the original payment methods used for the booking:

  • Credit Cards: Expected time of 5-7 business days
  • Bank Transfers: Between 7-10 business days
  • Cash/Cheque: Within 3-5 business days

Handling Fees

Credit Card Handling

A €50 fee applies to cancellations made more than 72 hours ahead of the charter

Bank Transfer Handling

All bank transfer refunds are subject to a €25 fee

Foreign Transactions

International refunds may incur additional costs

Charter Credits

Scenarios for Credit Issuance

Certain situations may warrant issuing credits instead of refunds:

  • Late cancellation requests (under 24 hours prior)
  • Cancellations due to adverse weather
  • Voluntary changes to the schedule
  • Interruptions in operation

Terms of Credit

  • Validity Period: Valid for one year from the date of issuance
  • Non-transferable: Credits cannot be passed on to others
  • Amount: Equivalent to the full value of the charter, without any fees
  • Applicability: Applicable towards any future charters where available
  • Expiry: No extensions past the 12-month period

Partial Service Refunds

Disruptions During Service

If your experience aboard is interrupted or cut short due to our fault:

  • A proportional refund calculated on the unused portion
  • Credit for a future charter equal in value
  • Options for additional services or upgrades free of charge

Complications Caused by Guests

If a charter is preemptively ended because of guest behaviour or violations of safety:

  • There will be no refund for the remaining time
  • Full payment must still be rendered
  • Potential for further billing

Resolving Disputes

If there's a disagreement regarding a refund verdict, you may:

  • Request an evaluation from our decision-makers
  • Offer additional details or proof
  • Engage with consumer protection entities for mediation
  • Explore legal routes as laid out in governing law

  • Scheduled date and time of your charter
  • The cause for revoking your booking
  • Required supportive documents (if it applies)

Step 3: Evaluation and Steps Forward

Our customer support will acknowledge within a day's span, inspect in reference to our policies, make a decision in two days tops, and should it be approved, proceed with the refund within the periods mentioned previously.

  • Requests for refunds have to be furnished in writing
  • Refund operations are conducted in €, independent of the currency used initially
  • We strongly advocate obtaining travel insurance
  • The policy can be updated, given a 30-day advance notice
  • Refunds are subject to the prevailing tax laws and norms
